1. Who We Are

Patriots Tech, LLC ("Patriots Tech," "we," "us," or "our") is a North Carolina limited liability company operating CRM Relay, an AI-powered content automation platform for insurance agencies. Our principal place of business is Oxford, North Carolina. You may contact us at support@crmrelay.io.

2. Information We Collect

We collect the following categories of information:

• Account Information: Name, email address, phone number, agency name, business address, and billing information provided at registration.
• Agency Profile Data: Lines of business, service area, target markets, brand voice preferences, and other information you provide to configure content generation.
• GoHighLevel Integration Data: API credentials and social channel identifiers necessary to connect CRM Relay to your GHL account. We do not store your GHL password.
• Generated Content: Posts, images, and blog content created by the Service on your behalf, along with scheduling and publishing records.
• Usage Data: Log data, device information, IP address, pages visited, features used, and interaction timestamps.
• Payment Information: Billing details processed through our third-party payment processor. Patriots Tech does not store full payment card numbers.
• Communications: Emails and messages you send to our support team.

3. How We Use Your Information

We use collected information to:

• Provide, operate, and improve the CRM Relay service
• Generate content tailored to your agency profile
• Process payments and manage your subscription
• Communicate with you about your account, updates, and support
• Monitor and analyze usage patterns to improve performance
• Detect and prevent fraud, abuse, or security incidents
• Comply with legal obligations

We do not sell your personal information to third parties. Third-party AI providers we currently use (Anthropic, Black Forest Labs, ElevenLabs) do not use API-submitted data to train their models by default, consistent with their respective API usage policies. As we integrate additional AI providers in the future, we will evaluate each provider's data handling practices and update this policy accordingly. We will not knowingly engage providers that train on your data without your consent.

4. AI Services and Third-Party Processing

CRM Relay uses the following third-party AI services to generate content on your behalf:

• Anthropic (Claude): For written content generation. Content prompts may include your agency profile data.
• Black Forest Labs (FLUX Ultra): For AI image generation.
• ElevenLabs: For AI voiceover generation (Agency and Pro plans).

These providers process data as service providers under our direction and are subject to their own privacy policies and data processing terms. We select providers that maintain strong privacy practices consistent with our values.

Patriots Tech reserves the right to integrate additional or alternative AI providers as the Service evolves. When we do, we will evaluate each provider's data handling and privacy practices prior to integration and update this Privacy Policy to reflect any new providers. We will notify you of material changes per Section 12.

5. GoHighLevel and Social Platform Data

CRM Relay accesses your GoHighLevel account via API to schedule and publish content to your connected social channels. We access only the data necessary to perform this function. Social platforms (Meta, LinkedIn, Google, YouTube) receive content we publish on your behalf and are governed by their own privacy policies.

CRM Relay may contain links to third-party websites including GoHighLevel, AgentCRM, and others. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.

6. Data Retention

We retain your account information and generated content for as long as your account is active and for a reasonable period thereafter to fulfill legal obligations or resolve disputes. You may request deletion of your account and associated data by contacting support@crmrelay.io. Certain information may be retained as required by law or for legitimate business purposes.

7. Data Security

We implement commercially reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission, access controls, and secure credential storage via Cloudflare secrets management.

8. Your Rights and Choices

You have the right to:

• Access, correct, or update your account information at any time
• Request deletion of your personal information (subject to legal retention requirements)
• Opt out of non-essential communications by contacting us or using unsubscribe links
• Request a copy of the personal information we hold about you

9. Cookies and Tracking

CRM Relay uses cookies and similar technologies to maintain session state, analyze usage, and improve the Service. Essential cookies are required for the Service to function. You may disable non-essential cookies through your browser settings; however, doing so may affect Service functionality.

10. Children's Privacy

CRM Relay is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it promptly.

11. North Carolina Residents

Patriots Tech, LLC is based in North Carolina. This Privacy Policy is governed by the laws of the State of North Carolina. If you are a North Carolina resident with questions about your privacy rights, please contact us at support@crmrelay.io.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the Service. The effective date at the top of this page indicates when the current policy took effect. Your continued use of CRM Relay after changes constitutes your acceptance of the updated policy.
